A technology upgrade at the CVAA’s host hospital deemed its legacy time tracking software obsolete. Through a Google search, the company discovered OnTheClock, a cloud-based platform that allowed employees to clock in and out from the convenience of their phones – a real asset for a group with such variable schedules.
“Our CRNAs don't have set eight-hour schedules,” said Ami Wathke, office manager, CVAA. “They're scheduled using a ‘peel-off’ approach – they work when they’re needed and sent home if they’re not. So, if they’re at the top of the list that day, they’re the first to go home when the demand is low. They might work two hours one day and 12 hours the next – they never know. While our team is paid salaries, they essentially work hourly schedules, in a weird way. OnTheClock grants employees the flexibility to conveniently punch in and out when they need to and everyone can easily see how many hours they’ve worked and how many hours are still needed.”
The previous time tracking system did not allow mobile access, which hindered the team’s flexibility. Employees could only punch in and out or view their schedules using the hospital’s laptop or desktop computers.
Thus, the time had come for CVAA to select a more efficient, accessible option: OnTheClock.
Using the geofencing/GPS feature, employees can punch in from specific locations, which is extremely helpful for physicians who need immediate assistance and managers who wish to keep employees honest and compliant.
“Physicians can now verify where anesthesiologists are, which makes it easier for them when they need someone immediately,” said Wathke. “And, now we know who’s in, who’s out, and where they’re at. Additionally, we can run a report on a certain month to determine who’s worked what hours. If extra hours are needed, we can quickly identify who’s worked what hours and assign extra shifts, with extra pay, if they’re needed.”
Since adding OnTheClock in January 2024, the company has saved money, time, and administrative effort, which has proven to be a winning formula for CVAA’s profit margin.
