Chippewa Valley Anesthesia Associates Opts for Simple, Easy, and Affordable Time Tracking

When implementing a routine server upgrade, Chippewa Valley Anesthesia Associates discovered its upgraded technology would deem its existing time tracking software obsolete. Rather than invest significant money to make its existing software compatible, the company opted to upgrade its software, selecting OnTheClock, a futureproof solution that grants the company a simpler, more efficient, and more comprehensive way to manage its workforce.

Tell us about you

Chippewa Valley Anesthesia Associates, S.C. (CVAA) is a private practice delivering community-based anesthesia services in Altoona, Wisconsin. The company — created in the shadow of Eau Claire Anesthesiologists — consists of a close team of five physician anesthesiologists and 12 certified registered nurse anesthetists working in a two-provider anesthesia care team.

Upon its establishment in 2021, CVAA had initially intended to roll over its legacy time tracking software; however, the team quickly realized the software program it had been using would no longer work with its new hardware.

The challenges you faced

  •
    Antiquated Software

Spun off from a larger group of local anesthesiologists, CVAA intended to continue utilizing its existing time clock system; however, technology upgrades deemed the legacy software incompatible.

  •
    Costs

The company's legacy time tracking software was expensive. Since the company didn’t use many of its reporting or scheduling features, leaders couldn’t justify continuing to pay the elevated cost.

  •
    Lack of mobility

Previously, employees were permitted to use the hospital’s computer system to clock in and out. When the group reestablished itself at Oakleaf Surgical Hospital, that was no longer an option, so administrators began to seek out a reliable, mobile option that could be used on the go.

“We love that we can make time adjustments from our phones at any time, anywhere. If somebody texts me and says they forgot to clock out, I can change it right away rather than make a note to change it the next day in the office. That's been extremely beneficial for us.”

How OnTheClock helped

A technology upgrade at the CVAA’s host hospital deemed its legacy time tracking software obsolete. Through a Google search, the company discovered OnTheClock, a cloud-based platform that allowed employees to clock in and out from the convenience of their phones – a real asset for a group with such variable schedules.

“Our CRNAs don't have set eight-hour schedules,” said Ami Wathke, office manager, CVAA. “They're scheduled using a ‘peel-off’ approach – they work when they’re needed and sent home if they’re not. So, if they’re at the top of the list that day, they’re the first to go home when the demand is low. They might work two hours one day and 12 hours the next – they never know. While our team is paid salaries, they essentially work hourly schedules, in a weird way. OnTheClock grants employees the flexibility to conveniently punch in and out when they need to and everyone can easily see how many hours they’ve worked and how many hours are still needed.”

The previous time tracking system did not allow mobile access, which hindered the team’s flexibility. Employees could only punch in and out or view their schedules using the hospital’s laptop or desktop computers.

Thus, the time had come for CVAA to select a more efficient, accessible option: OnTheClock.

Using the geofencing/GPS feature, employees can punch in from specific locations, which is extremely helpful for physicians who need immediate assistance and managers who wish to keep employees honest and compliant.

“Physicians can now verify where anesthesiologists are, which makes it easier for them when they need someone immediately,” said Wahtke. “And, now we know who’s in, who’s out, and where they’re at. Additionally, we can run a report on a certain month to determine who’s worked what hours. If extra hours are needed, we can quickly identify who’s worked what hours and assign extra shifts, with extra pay, if they’re needed.”

Since adding OnTheClock in January 2024, the company has saved money, time, and administrative effort, which has proven to be a winning formula for CVAA’s profit margin.

“OnTheClock made a lot of sense for us. We love how affordable it is and that we can clock in and out and check our timecards from our phones. It was simple to download and easy to add employees. We’re extremely happy with it.”
